Qualifications

- Experience in client services, family office or comparable financial services preferred.
- Ability to multi-task and function in a fast-paced environment.
- Strong analytical skills and understanding of basic financial concepts.
- Desire to learn and grow professionally in the personal financial management business.
- Proficient in Microsoft Excel, PowerPoint, and Adobe Acrobat.
- Salesforce experience is preferred.

Position overview
The Operations Associate will primarily assist the Operations Coordinator with driving innovation in client experience, ensuring new and existing clients receive excellent service, and working with all team members to increase organizational efficiencies.
In this role, you will:
- Assist in all operational aspects of client on-boarding and client maintenance, including collecting and organizing incoming client information and documents, assisting with account openings, account transfers, etc.
- Assist with operational aspects of creating new investment vehicles, including ensuring all legal documents are received and all bank accounts are opened.
- Assist the Operations Coordinator with maintenance of client and investment data.
- Assist in the processing and reconciliation of information coming from our third-party fund administrator into our client facing reporting platform.
- Facilitate cash transfers and money movements for clients and investment vehicles.
- Assist the Operations and Finance Teams in all communication with investors regarding capital calls, distributions, quarterly statements, annual audits, and tax documents.
- Assistance with compliance tasks, including ADV and Blue-Sky filings.
- Assist the Office Manager with CRM system projects.
- Assist the accounting and investment teams in streamlining and automating key processes and procedures.
- Complete ad hoc projects as needed.
Detailed role responsibilities
Client Onboarding and Account Operations
- Coordinate with clients and internal teams to collect and organize all necessary onboarding documentation, ensuring accuracy and timely submission to relevant custodians or counterparties.
- Support account openings, money movement requests, and asset transfers by preparing required forms, tracking progress, and communicating updates to clients and stakeholders.
- Maintain up-to-date records and client files in the CRM system, and assist in monitoring data accuracy across platforms to support ongoing relationship management.
Investment Vehicle and Fund Operations
- Partner with the Operations Coordinator to ensure all documentation and operational requirements are fulfilled for the launch of new investment vehicles, including legal, compliance, and banking components.
- Assist in tracking and processing capital calls, distributions, and investor correspondence related to investment vehicles, including quarterly statements, audits, and tax reporting.
- Coordinate with third-party fund administrators to reconcile fund data and upload accurate, timely information into internal reporting systems used for client reporting.
Internal Systems, Projects and Compliance Support
- Support the Operations Coordinator in ongoing CRM and IT initiatives, helping to implement updates, troubleshoot issues, and optimize workflows for efficiency.
- Assist in gathering data and preparing documentation for regulatory filings, such as ADV updates and Blue Sky compliance, ensuring deadlines are met.
- Collaborate with the accounting and investment teams to identify inefficiencies in existing processes and contribute to automation and process improvement efforts through ad hoc projects.
